Loan Policies and Information

Loan Policies

All circulating materials owned by the Library are checked out at the Service Desk. Please see our User Eligibility Policy to determine whether you will be able to register as a borrower at the Health Sciences Library (HSL). If you have any questions, contact the Service Desk at (434) 924-5444.

Monographs (books from the General Collection) may be checked out for 30 days. Monographs may be renewed up to three times unless holds have been placed on them. After three renewals, books must be returned to the Service Desk and checked in. If holds have not been placed on the books, patrons may check them out again and begin another 30 day/three renewals cycle. All residents of Virginia (16 years of age or older) may check out HSL books, using a Virginia driver's license or other state issued-ID with the individual's name and address rather than a UVA or Health System ID.

Reserve Materials may be checked out for two hours and may be renewed once. A few personal copies of books are placed on Reserve each year by Health System faculty and are usually non-circulating. Circulating Reserve materials may be checked out within two hours of closing on any day and must be returned within 2 hours of opening the next day. Only Health System affiliates may check out Reserve materials.

Journals: All Library journals circulate to affiliates and area health professionals only, but the loan term varies according to the type of item.

  • Journals - not designated "Two Weeks," circulate for one week with no renewals.
  • Journals - designated "Two Weeks," circulate for two weeks with one renewal.

Renewals: All renewable items can be renewed by going to https://www.library.virginia.edu. Click on the heading 'Services'. Next, on the right-hand side of the screen under 'My Account',click on 'Renew Items'. If a patron is affiliated with UVA, then the patron can log in using his/her Netbadge credentials. If a patron is not affiliated with UVA, then he/she will log in with his/her drivers license number or state-issued ID card number. Under 'Tasks' click on 'Renew Items'. Patrons can renew all items at once or select items individually for renewal. Patrons can call the Library's service desk at 434-924-5444 if they have problems with renewing online.

Fines: The Library does not charge fines on overdue materials.

Bills: Two overdue notices are sent for items that are overdue. The first notice is sent one day after the due date. The second notice is sent one week later. We prefer to send notices electronically, so make sure we have your correct e-mail address on file. Once an item becomes more than two weeks overdue, the Service Desk Department will bill for the replacement cost of the item by sending a bill notice. To clear a bill from your record, just return the book to the Service Desk, or pay the bill. Bills for lost items may be paid in cash or by check (checks made out to UVA) at the Service Desk.

Bursar Referrals: Student accounts delinquent for more than two weeks are referred to Student Financial Services (SFS) for collection. Once an account is referred, the account can be cleared by returning the overdue item to the Service Desk, or by paying SFS for the lost item. This referral will block your record at all UVa libraries, and will also block all registration efforts and the release of transcripts from all state institutions.
