How to Reserve a Room

Links to reserve rooms are listed below for students, staff, and faculty affiliated with UVA Health.  Reservable rooms are located on the 1st floor of the library except for the Link Hallway and Link Alcove.  (See floorplans in the left column.)  To accommodate demand for library spaces, reservations can only be placed up to two months in advance.  For assistance, please call the Service Desk at 434-924-5444 from 8am to 5pm, Monday through Friday.  (Use our Ask Us form at all other times.)​​​​​​

The MILL (Click to Reserve)

The MILL is a versatile room that can be reserved by anyone affiliated with UVA Health. It’s best suited for events like club gatherings and receptions and is available during mornings (Monday through Friday), evenings after 5pm (Monday through Friday), and weekends. Notably, there is no technology in the space and access is restricted to UVA Health badge holders during evenings and weekends.  The individual placing the reservation is responsible for leaving it in the same condition as before use. Food and drink are permitted. Room capacity is 75.

SOM Small Classrooms (Click to Self-reserve)

The School of Medicine small classrooms are available for self-reservations (up to two months in advance) by anyone affiliated with UVA Health, except from 1 pm to 5 pm, Monday through Thursday. These rooms can accommodate up to 15 people in single rooms and up to 30 people in double rooms (please be sure to reserve each individual room that can be made into a double room). All rooms are equipped with a whiteboard, a HIT computer that displays to a large flat-screen TV for presentations, laptop connection cables, and a webcam. Additionally, Epic access is available in these classrooms.  Single room capacity is 15.  Double room capacity is 30.

Tolleson Room (Click to Self-reserve)

The Tolleson Room, located on the first floor the Health Sciences Library, is ideal for meetings or training sessions with up to 10 attendees. The room features a Zoom cart for screen projection (please bring your laptop), along with a whiteboard for collaborative work.  It’s available for self-reservations up to two months in advance and can be booked by anyone affiliated with UVA Health. Room capacity is 15.

Room 1212 (Click to Self-reserve)

Room 1212, situated on the first floor of the Health Sciences Library, is ideal for brainstorming sessions with up to 10 people. While there is no technology in the room, the whiteboard walls offer ample space for collecting thoughts and ideas. You can self-reserve this room up to two months in advance, and it’s open to anyone affiliated with UVA Health.  Room capacity is 15.

Carter Classroom (Click to Reserve)

The Carter Classroom, located on the first floor of the Health Sciences Library at UVA, is an ideal space for training sessions. It features 12 workstations (and one instructor's station), but additional attendees can share workstations if needed. The room is equipped with projection capabilities and both mobile and wall-mounted whiteboards. Available software includes a standard shared layer HIT build (hospital software), as well as tools like R Studio and SPSS. Please note that use of the Carter Classroom for exams is not recommended.  Attention: if you need specific software for teaching or other purposes schedule time to test the computers before your event because software configuration changes can take up to 3 weeks.

Presentation Studio (Click to Reserve)

The Presentation Studio, located on the first floor of the Health Sciences Library at UVA, serves as a production studio primarily designed for video projects. It features professional-grade audio and video equipment, along with editing software. Library support is available for all stages of production. 

Audio Booth (Click to Reserve)

The Audio Booth, located on the first floor of the Health Sciences Library at UVA, serves as a dedicated production studio primarily designed for audio projects, such as narrating PowerPoint slides. It contains professional-grade audio equipment and software, and library support is available for all stages of production. 

Link Alcove (Click to Reserve)

The Link Alcove, located on the second floor of the Health Sciences Library at UVA, serves as a dedicated space just outside the library entrance.  Its primary purpose is to support health system entities in the occasional need to promote resources and services to UVA Health affiliates.  For UVA Health affiliated groups requesting the space to host a bake sale, please click on UVA Health policy links for fundraising and solicitations Repetitive reservations are considered on a case-by-case basis, allowing bookings up to two months in advance. 

Link Hallway (Click to Reserve)

The Link Hallway is located in the Link just outside the entrance to the Health Sciences Library. Its primary purpose is to support poster presentations from UVA Health entities. Requesters should use the Health Sciences Library’s reservation form to reserve the hallway.  The requester is also responsible for contacting Facilities Management to set up and take down portable poster walls.  

The Nook 

The Nook is located next to the Service Desk and is available Monday through Friday from 8am until 4:30pm. Reservations can only be made at the Service Desk and we ask that patrons limit their time in the room to up to 2 hours. This room is perfect for either meeting with a small group in person or joining a Zoom call.

Room Policies

Faculty, staff, and students affiliated with UVA Health may reserve library spaces and classrooms for purposes that support the mission of the health system. 

Rooms are intended for scheduled meetings or other group-related activities.  They may not be used as a substitute for regular office space.  The library reserves the right to make a determination if reservations are consistent with the intended use.

Patrons using rooms without a reservation should check the reservation screen and note the time when a room needs to be vacated. Reservations will always receive priority. It is encouraged for all users to make a reservation for the room they are using.

Rooms not used within 15 minutes of the scheduled reservation start-time are considered vacant and will be available to others on a first-come, first-serve basis. 

First Floor Rooms: These classrooms were designed to support the educational mission of the SOM. SOM receives first priority for reservations. If no reservations have been made, others may reserve these rooms up to 2 months in advance.

Individuals or groups may reserve rooms for a maximum of 4 hours per day. Exceptions can be requested by filling out the Reservation Request Form, at the Service Desk or by calling 434-924-5444.

Patrons already in the library can make first-floor meeting room reservations at the Service Desk or by using the Self-Reservation screen located outside each room.

Food and drink for personal consumption are allowed, but please properly dispose of trash.

Recurring Room Reservations:  Recurring reservations are submitted via our online Reservation Request Form and are processed in the order they are received. Reservations can not be made longer than 6 months in advance.

Whenever possible, we will honor requests for certain rooms.
